Privacy notice
This notice explains the information used by Akoriva’s school assessment and management service. Updated 10 October 2026.
Who handles your information?
Your school decides which learner, staff and guardian records it enters, who receives access and which results it publishes. Contact the school first about its education records. Akoriva operates the software and handles account, service and billing information needed to provide it. Contact Akoriva at support@akoriva.com.
Information used by the service
Depending on the features your school uses, records may include names, contact details, learner codes, class enrolments, photographs, attendance, assessment scores, report cards, staff records, teacher assignments and guardian links. Account information includes email, sign-in identifiers and school role. Support requests may contain the details you send. Payment records include the selected plan, transaction reference, amount, currency and verified payment status.
Provide the account and school information required for your chosen workflow. Optional photographs and optional profile fields are not required for every feature. Without the required account or learner-link information, the relevant sign-in or portal feature cannot work.
Why information is processed
The service uses information to sign users in, control school access, record and calculate assessments, prepare reports, send invitations and permitted announcements, provide support and verify subscription payments. Automated score calculations assist school staff; the school reviews and approves results.
Access and service providers
Access depends on the user’s school role and the permissions the school grants. Linked parents and learners see only the information enabled for them. Platform administrators provide service administration and support. The configured service uses Supabase for authentication, database and storage; Resend for invitation emails; Google for optional sign-in and configured device messaging; Paystack for configured gateway checkout; and Shorebird for native app updates. Hosting and these providers may process information outside Ghana. Akoriva does not need your payment-card details to calculate school results; the gateway handles checkout.
Sessions and device notifications
The app stores sign-in session information so it can keep you signed in. Website and infrastructure providers may use essential storage, request logs and security cookies. Optional device alerts use a registered device token. Use the app’s notification settings or your device settings to manage notification permission. Signing out disables that session’s device registration where supported.
Retention and requests
Trial expiry does not delete existing school data. Education records remain under the school’s management; financial and audit history may need to be retained. Ask your school about access, corrections, exports or deletion of its records. Contact Akoriva about account or service information. Requests may require identity and school-authority checks, and deletion may be limited by lawful retention needs. This notice does not promise a fixed automatic deletion date.
Individuals can request access to and correction of their personal information and raise concerns about its processing. You can also contact Ghana’s Data Protection Commission. Parents or guardians should work with the school when making requests concerning children’s records.
Keeping accounts safe
Use your own account, keep passwords and invitation links private, and sign out on shared devices. Send privacy concerns through Contact. Do not include passwords, access tokens or unnecessary learner records in an email.
